Business letter is an effective communication tool in all businesses.   • Formal business letters are very useful and important as it is through it that many or most official business transactions and dealings are expressed. All complaints, dealings, contracts, agreements, negotiations about potential business and thoughts are all formally written and documented to serve as reference or means of communication in a business world. Its usefulness can even serve as the key reference or basis for review of rules, policy or agreement that was agreed earlier.

 

  • Business letters come in many different types depending on what kind of business transactions you are trying to negotiate and pursue. If you wish to ask about products and services offered by a particular company, you can send a business letter to inquire. If you are applying for a job, a formal business letter should be forwarded to the hiring officer for them to know of your intention and interest to work for them. If you are preparing a report, you use formal business letter to summarize and communicate the results to the higher officers. If you are selling or promoting a product, you use business letter to communicate your intentions and to reach out to your prospective clients. If you wish to report an employee for his inappropriate conduct, a business letter can be used to communicate your complains against that employee to the top management.
  • Usually, a formal business letter is written in one page length only. Reflected in it are the date, the company’s name, the company’s address, the letter content which is about three paragraphs and a signature. A bullet point is also very helpful and useful when writing a formal business letter because it enables the writer to present his thoughts and ideas in a brief and concise style. With bullet points, it will be likewise easy for the reader to clearly understand the message that the writer is trying to communicate.
